WTC PADDLERS - 10/26 Meeting - Summary, Outcome, & Other Info

  Yesterday, on October 26'th 2008, we held a meeting that was very well attended by the paddling group of the Wilmington Trail Club.  In all, over 20 paddlers participated in a lively and constructive conversation about how the paddling group of the WTC should re-organize it's roles & duties.  Our goal for the meeting was to establish new roles, and have the people filling those roles be the new Board of Directors for the paddling group.

  The paddling group decided that we would post the descriptions of the nine new positions, and solicit for volunteers for them for 1 week.  After this week, any roles that have only 1 volunteer will go to that volunteer.  Any roles that have multiple volunteers will voted on by the paddlers at large.  Any roles that are unfilled will be re-solicited for a volunteer.

  It is important, as you read the volunteer duties, hopefully considering whether or not you would like to help by filling that role, that you keep in mind that these are positions that have a large impact on the health of our club and the sport in our local area.  We are looking for people who will embrace the role and really run with it.  A working knowledge of the tasks behind the roles would be ideal, but is not neccessary if you're willing to learn.  Ultimately, anyone is elidgible to fill these roles.

  Without further ado, the newly created roles:

 

Chairperson

  • Coordination of Board Activities
  • Schedule and Coordinate Official Meetings
  • WTC Council Liason
  • Oversee General Club Health

Co-Chairperson & Activism

  • American Whitewater Contact
  • Internal Activism Promotion
  • Local Community Outreach
  • Back-up for the Chairperson

Head Instructor

  • Organize Training Groups
  • Training Event Leadership Logistics
  • Facilitate Curriculum Revisions
  • Coordinate Instructor Training
  • Facilitate Paddler Skill Evaluation

Training Coordinator

  • Coordinate Training Meetings / Planning Sessions
  • Coordinate Training Events  (River 1, 2, Mandatory Pool Session)
  • Manage Training Registrations
  • Facilitate Paddler Skill Evaluation
  • Coordinate Training Follow-ups
  • Additional Touring Training Coordination

Safety & Insurance Coordinator

  • Establish & Maintain Safety Policies
  • Ensure Safety Adherance
  • Handle Insurance (with the ACA & 3'rd Party Organizations)
  • Organize Safety Training & Rescue Clinics
  • American Canoe Association Contact Person
  • Track Membership Info (WTC & ACA)

Treasurer

  • Make Payments
  • Obtain Payment Approval
  • Financial Reporting
  • Coordinate Financial Audits

Marketing & P.R.

  • Training Event Promotion
  • Public Liason
  • General Paddling Promotion
  • New Member Liason
  • Sponsorship & Advertising Liason
  • Paddler-Orientated Website Assistance
  • Audio / Visual assistance / coordination

Head Trip Coordinator

  • Coordinate Pre-Planned Trips Scheduling 
  • Coordinate Trip Leaders & Coordinators
  • Coordinate Assistant Training
  • Assist Safety & Insurance Coordinator with Safety Adherance
  • Coordinate Special Lists (IE: Mentor List, New Paddler List)

Paddler At Large

  • Attends other functional meetings
  • Assists with note-taking
  • Tie-breaker Vote

 

Keep in mind also, that the people who fill these roles will still need help.  An enourmous amount of work goes into keeping the club running (smoothly) each year.  If you can't volunteer for a whole position, once the roles are filled, you are more than welcome to offer your assistance to those people filling the main role.

IMPORTANT: 

If you are volunteering for one of these roles, you need to respond right here on this thread stating 1) Your name and 2) The position you would like to fill. 

Soliciting for volunteers will end next Monday (November 3'rd).   Votes, if neccessary will occur shortly after.

If you have questions about a role, there will be a seperate forum post to ask & answer those questions.  Questions and answers posted on this thread will be removed.

Bob Swain. I would like to volunteer for the position of Marketing and PR. This is one of the areas that I have tried to expand on as my role of Chairperson.  I feel that the success of this past training class was due in part to my efforts, as well as those that helped to improve and implement my ideas. I have a lot of ideas for promoting the club and the sport in general.  I have contacts at several local publications and stores that will allow me to promote the club and the sport. Also, my job as a REALTOR has given me the skills to effectively interact with the public.  Thank you for your consideration.

I'd like to echo Tom's comments that we want and need new paddlers to volunteer for these board positions to keep the club vital.  Everybody has a lot to offer.  Also we really want to encourage touring paddlers to take leadership roles.

Wes  Young volunteers for position of Paddler at Large.

Louise Young - co-volunteer for the position of Head Trip Coordinator - flatwater/recreation trips only.  I strongly feel that the whitewater paddlers need their own Head Trip Coordinator.

Roger Fox:   Referring to the prior post by Louise, if it is decided that the trip coordinator role will be split, I will be glad to volunteer for the Whitewater Trip Coordinator position.  My professional background of project management seems to be a good fit for this.  I’ll also be glad to be the assistant for this role should someone with more tenure or experience in the club desire it.

If it is okay with everyone, I would be glad to help Roger and Louise with the Head Trip Coordinator position.  With the added duties, I think maybe three people would be okay.   Let me know everyone's thoughts.

Given that after the various amendments to position there are now two Paddler-at-Large positions, I volunteer to fill one of them.
